Note: Make sure you are logged in and in the correct event
This article explains how you apply a maximum capacity with a waiting list to your event.
Edit general info.
Select the box: limit, with waiting list and add a maximum amount of participants.
After 6 participants (in this case) have registered, the event is marked as full.
Note! This does not mean that other participants can't register. They just won't be able to purchase a product or select an activity. To ensure that this comment is well visible, we advise using separate sections for 'event fees' and 'activities.
When the participant clicks on 'register' the following message appears:
This participant will receive the automatic email: "Event waiting list confirmation (automatic)"
Their status will become: "Waiting".
Step 4. Promotion
A spot can become available in the event. This happens when:
I. A Registered Participant cancels
II. A Planner cancels a participant
III. The number of the participants is increased in the event information page
IV. A previously promoted participant did not register within the 24 hour promotion time.
V. A Planner changes the status of a participant to anything other than payment_pending, registered or arrived_to event
When a spot becomes available in the event, a participant will be promoted. The promoted participant (top of the waiting list):
- Receives the status: Promoted
- Receives the automatic email: Event waiting list promotion (automatic)
- Is given 24 hours to finish his/her registration
- If the promotion is triggered by the planner, a promotion message is also displayed.
- If the Registration is not completed within 24 hours, the participant goes into Cancelled
Note! It is possible that participants are sent to your waiting list even though your event is not full. This happens because of open sessions. Whenever a potential participant opens the registration form he/she is given 1 hour to complete the registration. We call this an open session. These open sessions contribute to your maximum capacity number.
