Why creating an event program/activities in Azavista?
- Participants can choose optional activities in the registration form
- Merge Tags/Keywords are available in the email templates for the General Program and Personal Program.
- General Program and Personal Program (optional activities) can be made visible in the Event App
- You can create an agenda on your website using a free text webpage (see step 7 - Optional)
Go to event website, and click on event program. Here you can see an overview of your event program, which is empty now. Add an activity by clicking on "Add activity".
You can add a workshop, a seminar, a round table, a meeting etc. Choose a name, date, time and type.
If you choose a mandatory, private or open activity the activity will not show up in the registration form. It is part of the general program.
If you choose an optional activity, this activity will show up in the registration form because people can choose if they want to attend or not. They can choose between different kind of workshops for example. This chosen activity will then be added to their personal program. More information about optional activities will be given in another article.
Note! If you want the (optional) activities to show up in your registration form, make sure the activities are selected in the Fields Template and are dragged into the registration form.
You can also add capacity to your activities. If you fill in a number, for example 10, only 10 people can register for that (optional) activity. After those ten people, participants cannot choose this activity anymore unless you enable a waitinglist.
Event program overview
Registration form when all places are available.
When all 10 places are booked, the activity will not show up or cannot be selected in the registration form anymore (this depends on the browser). Unless you enabled a waitinglist. Then participants see the following:
Create more activities including time, date and capacity and define your whole event program. The activities are automatically sorted by time and date. You can edit/delete/duplicate the activities with the pencil, red cross, grey arrow.
You can also choose to have a calendar overview.
To include your programme into your registration form, Activate the field "Activities" on your "fields template". After you have activated this, also make sure the "activities" field is added into one of the visible sections on your registration form.
If you would like to show your activities/program on a separate free text page (Agenda page) there are three options:
I. Merge tags
Use the merge tags "Event Program lists by track" or "Event Program lists by day"
Create a table using the website text editor to create an agenda
Upload the agenda as an image on the 'agenda page'.
