Combination of the listed methods above are possible, bearing in mind that all invitees/visitors are matched with the correct access to registration form.
II. Invitees Database Location
The data of your invitees (such as email addresses, names, etc) can be uploaded into Azavista. This is required if you would like to send out your invitations using Azavista Mail.
However, if you would like to send out your invitation via your existing channels (non-azavista channels) this prefilled data is not necessary.
Invitees which are registered, regardless of the source (via email invitation or visitor of your public website), will have their registered information saved in Azavista.
III. Registration Form Access
There are 3 type of access possible for the registration form:
if you select 'Public Form', this means you can provide the link to your event website publicly, without needing to send an invitation from Azavista. It also doesn't require the registrant to insert a unique pin code. A public registration form is accessible by everyone who visits the events webpage
For Invitees Only
On the other hand you could also set the form to 'For Invitees Only', this means that the page is only visible to the participants you have invited via Azavista Mail, and they will be provided with a direct registration link. Using this option you can also create multiple registration forms for different types of participants which are selected using group dependencies.
This ensures are safer and more personalised approach however only known participants can register.
For a specific participant type
Important! Make sure you first create a custom field (i.e. Participant Type) in the fields template, with options, and assign each participant to a label.
You can also decide to make one Registration form visible for a certain group of participants. This option is useful if you have multiple Registration forms for different categories of participants (i.e. guests, VIP, staff).
In the Form settings, select the visibility of your form by clicking on "filtered by participant type" and then, in the drop-down menu, you can select the category which will see the Form.
Once they receive the Registration invitation they will be redirected to the Form according to their label (VIP Registration form for participants marked as VIP; Guest Registration form for participants marked as Guests; etc.)
To present it in your email, you can simply put the merge tag %registration_link%. Participants will automatically be redirected to the registration form according to their label.
IV. Form pre-filled with profile information?
For both an "invitation" and "public" registration for,, it is possible to pre-populate your invitee's form with general information (such as "first name", "last name" or any other information which you would have prior to sending the registration) to make the registration process easier and faster. For this you need to use Azavista for sending emails though.
